About the Lucas Museum of Narrative Art

Founded by philanthropist and filmmaker George Lucas and his wife, Mellody Hobson, Co-CEO and President of Ariel Investments, the Lucas Museum of Narrative Art will inspire current and future generations through the universal art of visual storytelling. The museum will present a permanent collection and rotating exhibitions for diverse public audiences which will feature illustrations, paintings, comic art, photography, and an in-depth exploration of the arts of filmmaking (including storyboards, costumes, animation, visual effects, and more). Extensive education programming designed for all ages will explore innovative ways for visitors to engage with narrative art. Position Summary (Intent and purpose of the role)

The Lucas Museum of Narrative Art (the “Museum”) is excited to announce a new opening on our Human Resources team. Reporting to the Director of Human Resources, the Payroll, Benefits, & HR Administrator (“HR Administrator”) at the Lucas Museum of Narrative Art will be responsible for processing the company's bi-weekly payroll for exempt and non-exempt employees. This position will also be responsible for benefit and leave administration, handling all payroll related issues, insurance billing and other duties as assigned. The Museum is looking for someone passionate about providing world-class service to employees as a key team member of the Human Resources department, specifically with payroll processing, benefits enrollment & administration, leave of absence coordination, development of employment policy, and workers compensation processing.

This is an exempt, benefits-eligible role with an expected opening salary range of $68,950-75,200 per year. An attractive compensation package will be offered to the successful candidate(s).

The HR Administrator’s work is sub-divided into three phases as the Museum scales and grows:

  • Phase 1: Supporting the selection and overseeing the implementation of a new Human Resources Information System (HRIS);
  • Phase 2: Scaling our administrative processes and systems to match the planned growth of the Museum over the next three years;
  • Phase 3: Test, evaluate, and continuously improve systems, protocols, and processes especially as we approach the opening of the Museum in 2022.

Primary Responsibilities & Accountabilities

Payroll Operations

  • Process, calculate, and post bi-weekly payrolls;
  • Ensure payrolls are processed in a timely and accurate manner;
  • Compile payroll data such as garnishments, adjustments, vacation time, sick time, and deductions;
  • Maintain accurate payroll records and generate payroll reports;
  • Ensure compliance with policy, state, and regulatory requirements;
  • Process manual checks as requested;
  • Process new hires and terminations into payroll system, garnishments, employee changes, deductions;
  • Compliance with policy, state, and regulatory requirements;
  • Support audit and financial close requirements;

Benefits Administration

  • Coordinate benefits processing to ensure the accuracy of all benefits enrollments and qualifying life event changes in the Museum’s HRIS;
  • Respond to employee inquiries regarding benefits, particularly around benefits enrollment, status changes, and general inquiries;
  • Work closely with other HR team members to coordinate and communicate events related to employee benefits such as open enrollment, health fairs, lunch & learn sessions, as well as identify and contact vendors to participate in these events;
  • Monitor ACA compliance;
  • 403(b) Administration – perform plan enrollment, billing maintenance, and plan administration duties, as well as process changes to enrollments and deferral changes on a bi-weekly basis;
  • Works closely with Insurance Broker to resolve employee issues related to benefits;

HR Administration

  • Leave of Absence – administer employee leaves of absence including FMLA, CFRA, Disability Leave, and other legally-protected leaves. Track all Leave of Absence documentation, notifications, correspondence, and administration details accurately and in a timely manner. Assist employees and answer questions related to leave of absence, particularly FMLA;
  • Administer Workers Compensation claims process including providing applicable notices, monitoring employees’ treatment process and medical restrictions, and engaging in an interactive process regarding return to work;
  • Utilize all applicable communication methods to ensure employees receive timely information and updates regarding company policies, legal notices, and other job-related news;
  • Support the Director of Human Resources in keeping abreast of changes to employment policy and implementing changes to employment protocol as needed;

Special projects and other duties as designated by the Director of Human Resources or designee.

Requirements

Education & Experience

  • A Bachelor’s Degree is required; Coursework in accounting, finance, and HR management a plus;
  • At least four (4) years of prior experience in payroll operations and benefits administration;
  • Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) preferred – the successful incumbent selected for this role is expected to secure this certification within 6 months of hire;
  • Experience working with a non-profit organization is preferred;
  • Prior HRIS implementation experience is preferred;
  • Previous experiences working in partnership with an insurance brokerage towards developing a comprehensive benefits and wellness plan for employees;

Skills

  • Advanced computers skills, particularly with Microsoft Office;

Knowledge

  • Thorough knowledge of payroll practices and Federal and State laws related to payroll required, including ACA reporting;
  • Strong understanding of current payroll regulations;
  • Strong understanding of California taxation rules;
  • Extensive knowledge of payroll and HR systems similar to ADP Workforce Now, Paycom, Paylocity, and Ultimate Software;
  • Strong knowledge of benefits and leave administration;

Abilities

  • Ability to work under high stress conditions and work effectively with competing priorities and tight deadlines;

  • Excellent grammar, spelling, and proof-reading skills;
  • Ability to follow-up quickly and effectively with all staffing levels and clients;
